Your quotes, invoices, notes and labels are branded from your company profile, and your company profile is not stored in Paperwork. It lives in Dashboard, the compliance app, and Paperwork reads it each time it makes a document. This page sets it once.
Before you start
- You are an organisation Owner. Everyone else sees the form but cannot edit it. See Set up your organisation and team.
- You have a Dashboard seat. Saving also needs permission to edit the organisation, and that permission comes through your Dashboard role, which you only have with a seat. The Dashboard Owner role includes it.
- A logo file. PNG or JPG, under 2 MB. It is cropped square, so a logo that is roughly square works best.
Take a Dashboard seat if you need one
Skip this if you can already open Dashboard.
Open Members in Account
Open Account from the app switcher, choose your organisation and click Members.
Click Add on your own row and choose Dashboard
In the Product access column of your own row, click the dashed Add pill and choose Dashboard. You will see "Granted Dashboard access". An organisation Owner who takes their own seat is given the Dashboard Owner role, which has every Dashboard permission, including editing the organisation.
If Dashboard says You need a Dashboard seat with Allocate yourself a seat, its Manage members in Account button takes you to the same page.
Open the Company Profile
There are two ways in.
- From Account. Click Settings in the sidebar, and on the Company Profile card click Edit Company Profile. It opens Dashboard in a new tab.
- From Dashboard. Open the organisation menu at the top of the sidebar and choose View profile.
The page is titled Company Profile. If the card Complete your profile appears at the top, it can fill in details for you. Auto-fill uses what Dsposal already holds for your organisation, and Companies House lookup takes a Company no. and imports your registered address and SIC codes after you confirm. Use them if they help. Everything they fill in is still editable.
Upload your logo
Your logo is the single most visible part of your documents.
Click Upload
Under the round logo preview at the top of the page, click Upload and choose your file. The page accepts PNG or JPG up to 2 MB. Anything else is refused with "File must be a PNG or JPG image" or "File must be less than 2MB".
Crop it and click Save
The Crop Logo window opens. Drag the image into position, use Zoom in and Zoom out, and click Save. The logo uploads straight away. You do not need Save Changes for the logo.
To replace the logo, upload another. Remove deletes it.
Fill in your company details
Work down the page. Only Name is mandatory, but a document without the rest has gaps.
| Card | Fields to fill in | Why |
|---|---|---|
| General Information | Name (required), Company Number | Name is your legal name. Company Number prints as your registration number on quotes and invoices |
| Contact Information | Phone Number, Email, Website | Phone and email print in the document footer. Phone Number is also your emergency number on waste labels |
| Business Address | Find Address, then Address Line 1, Address Line 2, Town/City, Postcode | Your registered office, printed in the footer and on waste labels. Search a postcode under Find Address or type the lines in |
| Branding | Trading name, VAT number, Primary colour, Secondary colour | Trading name replaces your organisation name on documents. VAT number prints in the footer. The colours decide the look of your documents |
Trading name defaults to your organisation name when it is blank, so only fill it in if you trade under a different name. Colours are written as six-digit hex values, for example #427CBE. You can type one or use the colour picker beside it. A shorter value such as #FFF is refused.
When you are done, click Save Changes at the bottom of the page. You will see "Profile updated successfully".
See what prints where
Paperwork builds its documents from your saved profile. This is what each one takes from it.
| Document | From your profile |
|---|---|
| Quote, agreement, price list and booking form | Full letterhead: your name (trading name if set) with the sales rep's name, email and phone, and your logo. The footer carries your registered office, company number, VAT number, phone and email. Primary colour for the lines, secondary colour for the footer band |
| Invoice and credit note | Header with your name, your logo and the Finance email from Settings. The same footer as a quote, with your registered office, company number, VAT number, phone and email. Primary colour for the lines, secondary colour for the footer band |
| Purchase order | Full letterhead and footer, as a quote |
| Job sheet and method sheet | Full letterhead and footer, as a quote |
| Waste transfer note and consignment note | Logo only from your profile. Names, addresses and registrations on these come from the job's customer, site, carrier and disposal site, not from here |
| Waste labels | Logo, your name, your address and your phone number as the emergency number |
| Emails | Always the Dsposal logo at the top. Your profile does not change this |
The invoice header does not carry your address. Your address, company number and VAT number are on the invoice, but in the footer, not under your name.
If you skip this
- No logo — documents print the Dsposal logo where your logo should be, including on waste transfer notes and consignment notes your customers and carriers see.
- No colours — lines print black and the footer band grey.
- No address, phone, email, company number or VAT number — the footer prints its labels with nothing after them, for example "VAT Registration No.:" and a blank. A customer's accounts team will notice.
- No trading name — your organisation name prints. That is correct if you trade under it, and wrong if you do not.
- Nothing blocks you. No page stops you saving a job or sending an invoice without a profile, which is why this step is easy to miss.
Check it worked
- Company Profile shows your logo in the round preview, and the fields still hold your values after you refresh.
- You can check how it prints later, when you run your first real job. At step 11 the Documents tab previews the Sales Document, which should show your logo, name and colours, with your address, company number, VAT number, phone and email in the footer. There is no need to raise a sale just to look.
What to do next
Step 4, Choose your core settings, sets your numbering and rules. It is the first step that must be done before anything else works.
- Organisation settings — the Account side of your profile
- Finance settings — the finance email and bank details that print on invoices
- Jobs — the waste transfer and consignment notes
- Email settings — who your emails come from
