Sales: Price Lists, Agreements, and Quotes

Create and manage the three types of sales in Paperwork

Sales are the core of Paperwork's workflow. Every job must originate from a sale, which means getting your sales right is essential to smooth operations downstream. Paperwork supports three types of sales, each suited to different commercial arrangements.

Three types of sales

Price Lists

Standard rates for recurring work. You define a set of waste types with fixed pricing that applies to ongoing collections. Price lists are best for regular scheduled collections where pricing doesn't change often.

Agreements

Contract-based arrangements with specific terms, start and end dates. Agreements can include multiple waste lines with agreed pricing. They are best for formal contracts with defined service periods.

Quotes

One-off pricing for specific pieces of work. Quotes are typically used for ad-hoc or project-based jobs. They are best for one-time collections or clearances.

The sales table

Browse, search, and filter your sales from the main Sales page. You can view sales by status (draft, active, expired, or cancelled) and sort by customer, type, or date. The table gives you a quick overview of all your active commercial arrangements.

Creating a sale

Navigate to Sales

In Paperwork, go to Work → Sales and click Add to start creating a new sale.

Choose the sale type

Select whether you want to create a Price List, Agreement, or Quote. This determines the structure and fields available for the sale.

Select the customer and site

Choose the customer and the site where the work will take place. If the customer doesn't exist yet, you can create them from here.

Add waste lines

Specify the waste types you'll be handling. For each waste line, enter the EWC code, description, container type, quantity, and price. Use the integrated waste thesaurus to look up the correct EWC codes.

Add any extras

If there are additional services or charges beyond the core waste lines -- such as transport surcharges, container hire, or site preparation -- add them as extras.

Review and save

Check the details and pricing summary, then click Save. You can edit the sale later if anything changes.

Sale details

The sale detail view shows all waste lines, extras, and the pricing summary. You can also see any attachments, linked jobs, and the full history of changes. From here you can edit details, update pricing, or convert the sale into jobs.

Waste lines

Each waste line specifies the EWC code, description, container type, quantity, and price. The integrated waste thesaurus lets you search for and select the correct EWC codes without leaving Paperwork. This ensures your waste descriptions are accurate and compliant.
